The opportunity

Reporting to the Executive Assistant to the CEO, the Reception & Administration Assistant provides broad administrative support to the business through a range of diverse duties including managing reception, supporting office coordination, and providing administrative support as a member of the shared service – Administration Hub. As the key support and ‘go-to’ person for the main office, this role is an essential element to keep our office humming. This is a part time role (30 hours per week) ideally worked 8:30am – 3:00pm (flexible) from Monday – Friday for an 8-month parental leave cover.

Your responsibilities will include:

  • Supporting IT & Facilities Officer to liaise with Building Management, ensure facilities are kept in working order, and maintain pool car bookings
  • Supporting WHS Lead to ensure all required legislation and relevant policies and procedures are adhered to including the management of Fire Wardens
  • Coordinating on-site events including morning teas, lunches, social events, and the end of year celebrations
  • Managing meeting rooms ensuring all rooms are clean and prepared adequately for all bookings, including catering, beverages, and equipment
  • Ensuring the kitchen and general office is kept in a tidy manner
  • Ordering and maintain office stock levels of stationery and consumables
  • Providing administrative support to the EA to the CEO
  • Assisting Team Leads with project support including mail merges, printing, and posting

About you

Ideally, you will share our vision to support resilient regions and have a desire to connect through science and actions that will preserve and enhance our natural assets. You will be highly motivated and can work autonomously in agreed timeframes. To be successful in this role, you will have all or many of the following key attributes:

  • Proficiency in Microsoft Office programs including Word, Excel, Access, Outlook, Visio, and Access
  • Excellent data entry and maintenance skills with a strong attention to detail
  • Time management skills and the ability to use initiative to prioritise workload
  • Professional and engaging style of written and verbal communication
